1)  Q I heard that Unit 2 is archiving all email. When does that begin and what email messages will be archived.
A
Yes, it is true. All email messages coming from or being sent to email addresses under the marionunit2.org or wcsed.org domains will be archived. This process begins on July 1, 2008.
2)  Q Why is email being archived?
A
Recent changes in the Federal Rules of Civil Procedure have required most businesses and organizations (including school districts) to evaluate the way they treat all documented communications. School districts already have rules for how long they archive student records, and many other school related files. These recent changes also address electronic communications i.e. email, instant messaging, etc. These rules describe the way that an organization must be able to produce electronic communications in the event of litigation. While it does not say that all email has to be archived, archiving all mail is the best way to insure that email messages related to a particular topic are available in a timely manner.
3)  Q As a marionunit2.org or wcsed.org email user, what should I do?
A
Be aware that ALL messages being sent FROM your email account or being sent TO it are being archived. With that in mind, if you currently receive a personal email messages (friends, family, electronic bills and/or statements, etc.) you may want to begin using a different email account as soon as possible.

If you do not have another email account you may obtain an account free-of-charge from several reputable sites on the Internet. Yahoo, MSN, Hotmail, and Google are just a few sites that offer free email accounts, complete with anti-virus and anti-SPAM protection. If you have questions on how to do this, browse to any of the websites mentioned and look for a link titled "Mail" or you may contact the Technology Department for assistance.
4)  Q I know that the district server deals with SPAM (junk mail) but I still receive it in my inbox. Will these messages be archived as well?
A
The short answer to your question is Yes...unfortunately all messages that make it to a users inbox will be archived. Fortunately however the 60,000+ SPAM messages that are intercepted daily by our anti-SPAM filter are NOT archived. We continue to fine-tune our Anti-SPAM efforts but unfortunately, the nefarious individuals that create this junk continue to find ways around these efforts. This is a problem for every email hostiing service that exists.
